Information we process

When an authorized mailbox is connected, the application may process:

• Email metadata, message content, and PDF estimate attachments.
• Repair-order, vehicle, VIN, estimate, parts, labour, and repair-operation information.
• Operational records such as workflow stage, task status, worker assignment, and manager notes.
• Technical records needed for security, duplicate prevention, and troubleshooting.

How we use information

We use this information only to receive collision-repair estimates, extract and organize authorized work, create or update repair jobs, generate work orders, coordinate production, and operate the manager, technician, and television status displays. We do not sell this information, use it for advertising, or use Google user data to train generalized AI models.

Gmail access

With the mailbox owner's authorization, the application uses the Gmail API to read incoming estimate messages and attachments and to send generated work orders to configured CSN recipients. Access is limited to the scopes shown on Google's consent screen. Authorization can be revoked at any time from the Google Account's third-party connections settings.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Sharing and service providers

Information is available only to authorized CSN personnel and configured operational recipients. We use service providers, including Google for Gmail API access and Railway for application and database hosting, solely to operate the service. We do not permit those providers to use collision- repair information for their own advertising purposes.

Storage, retention, and security

Data is protected using access controls, encrypted network connections, restricted credentials, and operational logging. Estimate source records and related production records are retained for legitimate repair, audit, warranty, legal, and business requirements, then removed or anonymized when they are no longer required. No system can guarantee absolute security, but we take reasonable administrative and technical measures appropriate to the information processed.

Your choices

You may contact us to ask about access, correction, or deletion of personal information, subject to applicable legal and operational retention requirements. The connected Google Account owner may revoke Gmail access through Google Account settings; doing so stops automated email intake and delivery.
